FormMaster AI Privacy Policy

Summary

FormMaster AI creates Google Forms and quizzes from a description you type or from a Google Sheet you choose.

• It only opens the files you choose, the spreadsheet it is opened in, and the files it creates.
• Everything it creates, and your chat history, is stored in your own Google Drive.
• Codeinate does not run a database of your content and does not sell or share your data for advertising.
• Text you send to the AI assistant is processed by Google's Gemini API to write the form.

Google user data we access and why

FormMaster AI asks for these Google permissions. Each one is used only for the purpose shown.

• Google Forms (forms): create the form or quiz you approve, add its questions, answer keys and settings, and read it back to check it was created correctly.
• Files you use with the app (drive.file): open the spreadsheets you pick in the Google file picker, create and update the FormMaster AI Data spreadsheet in the folder you choose, save question lists you export, and move new forms into that folder. It cannot see other files in your Drive.
• The spreadsheet it is opened in (spreadsheets.currentonly): read the open spreadsheet and the rows you highlight when you choose Use current sheet or Use marked rows.
• Your email address (userinfo.email): keep your settings and history separate from other users of the same add-on.
• Send email as you (script.send_mail): send the form link to the recipients you enter, only after you press Create and the form passes its check. FormMaster AI never sends any other email from your account.
• Connect to external services (script.external_request): reach Google's Sheets, Drive and Gemini APIs, and send anonymous usage statistics.
• Display the sidebar (script.container.ui): show FormMaster AI and the Google file picker inside Google Sheets and Docs.

FormMaster AI does not request access to your whole Google Drive, your Gmail inbox, your contacts or your calendar.

The AI assistant

When you type a request in the message box, or choose Describe with AI, the text you type, and earlier messages in the same chat, are sent to Google's Gemini API to understand the request and draft the form's questions. When you press Match with AI on a spreadsheet, only its column titles and the first two rows are sent, with long cells shortened.

Importing questions from a spreadsheet without pressing Match with AI does not use the AI, and no cell content is sent to it.

Google user data obtained through FormMaster AI is not used to develop, improve or train generalized artificial intelligence or machine learning models, by Codeinate or by anyone we share it with.

Where your data is stored

• Forms, quizzes and exported question lists are created in your Google Drive, in the folder you choose.
• A spreadsheet named FormMaster AI Data in that folder keeps a log of what you created (Forms Log, Quiz Log) and your chat history (Conversations). You own it and can edit or delete it at any time.
• Small settings are kept in your Google account's add-on storage: the chosen folder, whether setup is complete, how many AI requests you have used (for the usage limit), and a random analytics identifier.
• A draft is held in temporary Google cache for up to 10 minutes while you review it, then discarded.

Codeinate does not copy your forms, spreadsheets or chat history to its own servers.

Usage statistics and error reports

To keep the add-on working and decide what to improve, FormMaster AI sends limited technical information:

• Anonymous usage events to Google Analytics 4: that the add-on was opened, which screens and buttons were used, that a sheet was imported or a form or quiz was created (with counts such as the number of questions and whether the check passed), how many AI requests were made, the general category of a request the assistant could not help with (for example "signatures"), and error codes.
• Each event carries a random identifier and a session number, never your name, email address, the text you typed, form content, spreadsheet data or file names.
• When the sidebar opens, it sends one event to Google Analytics from your browser. Google Analytics uses your IP address to estimate your approximate location (country, region and city) and does not store the IP address. Advertising features and Google signals are turned off.
• Error reports to Codeinate's diagnostics service, containing an error code, the step that failed and a reference number, so we can fix problems. They contain no form content.

Installation notice

The first time you open FormMaster AI, it records one anonymous installation event in Google Analytics, noting only whether the account is a personal Google account or a work/school account (taken from the email's domain, not the address itself). No email is sent and your email address is not shared.

Sharing and Limited Use

FormMaster AI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell your data, use it for advertising, or let people read it, except when you ask us for help and give permission, when it is needed for security or to comply with the law.

The services that receive data are Google Workspace APIs, the Gemini API for AI drafts, Google Analytics for anonymous statistics, and Codeinate's own diagnostics service for error reports (described above).

Retention and deletion

• Delete a chat, or all history, from the History panel in the sidebar, or delete the FormMaster AI Data spreadsheet.
• Forms you created are ordinary Google Forms; delete them in Google Drive like any other file.
• Remove FormMaster AI's access at any time at myaccount.google.com/permissions.
• For any other request about your data, write to support@codeinate.com.

Security

FormMaster AI runs on Google Apps Script inside Google's infrastructure and uses only the permissions listed above. Connections to Google services use HTTPS, and outgoing requests are limited to a fixed list of Google addresses.

Children

FormMaster AI is meant for teachers, trainers and organisations, not for use by children under 13. Forms you create may be answered by students; those responses are collected by Google Forms under your account and Google's terms, not by FormMaster AI.

Changes to this policy

If this policy changes, we will update the date above and, for significant changes, tell users in the add-on or by email.
