FlowForge

FlowForge Privacy Policy

FlowForge is a Google Workspace add-on by Codeinate that turns Google Sheets rows into Google Docs, Slides and PDFs. This policy explains what it accesses, why, where your data is kept, and the choices you have.

Last updated: October 5, 2026

Summary

FlowForge creates one document for each row of a Google Sheet, using a Google Doc or Slides template you choose, and can email the result as a PDF.

  • It only opens the files you choose, the file it is opened in, and the files it creates.
  • Everything it creates, and your saved setups, is stored in your own Google Drive.
  • Codeinate does not run a database of your content and does not sell or share your data for advertising.
  • When you ask the AI to help, parts of your template and sheet are processed by Google's Gemini API (see The AI assistant).

Google user data we access and why

FlowForge asks for these Google permissions. Each one is used only for the purpose shown.

  • The spreadsheet it is opened in (spreadsheets.currentonly): read the tabs, column names and rows you choose, and write a status next to each row when its document is created.
  • The Google Doc it is opened in (documents.currentonly): read your template and, when you ask, mark the places to fill and replace them with values from your sheet.
  • The Google Slides file it is opened in (presentations.currentonly): the same, for Slides templates.
  • Files you use with the app (drive.file): open the templates and sheets you pick in the Google file picker, create the documents and PDFs in the folder you choose, and keep the FlowForge Data spreadsheet. It cannot see other files in your Drive.
  • Your email address (userinfo.email): keep your settings and history separate from other users of the same add-on.
  • Send email as you (script.send_mail): send a created document as a PDF to the addresses in your sheet, only after you start a run that has email turned on. FlowForge never sends any other email from your account.
  • Connect to external services (script.external_request): reach Google's Sheets, Drive and Gemini APIs, and send anonymous usage statistics.
  • Display the sidebar (script.container.ui): show FlowForge and the Google file picker inside Google Sheets, Docs and Slides.

FlowForge does not request access to your whole Google Drive, your Gmail inbox, your contacts or your calendar.

The AI assistant

When you press Fill my Doc, or let FlowForge match your columns automatically, it sends to Google's Gemini API: the text of your template, the names of your tabs and columns, and a few example rows from the tabs you ticked. All rows are sent only if you switch that on. The AI only names the text to replace and the column to use; FlowForge checks and makes the change itself, after saving a backup copy of your template.

FlowForge does not store what it sends to the AI. Do not use a template copied from a real, filled-in document if it contains details you do not want processed.

Creating documents from a template that is already set up does not use the AI.

Google user data obtained through FlowForge is not used to develop, improve or train generalized artificial intelligence or machine learning models, by Codeinate or by anyone we share it with.

Where your data is stored

  • Documents and PDFs are created in your Google Drive, in the folder you choose.
  • A spreadsheet named FlowForge Data in your Drive keeps your saved setups and a log of your runs. You own it and can edit or delete it at any time.
  • A status is written in a column of your sheet next to each row.
  • Small settings are kept in your Google account's add-on storage: the chosen folder, whether setup is complete, how many files and AI requests you have used, and a random analytics identifier.

Codeinate does not copy your sheets, templates, documents or emails to its own servers.

Usage statistics and error reports

To keep the add-on working and decide what to improve, FlowForge sends limited technical information:

  • Anonymous usage events to Google Analytics 4: that the add-on was opened, which screens and buttons were used, and counts such as the number of rows or files in a run. Each event carries a random identifier, never your name, email address, template text, sheet data or file names.
  • Error reports to Codeinate's diagnostics service, containing an error code, the step that failed and a reference number, so we can fix problems. They contain no document content.
  • The first time you open FlowForge, one anonymous installation event is recorded, noting only whether the account is personal or work/school. No email is sent and your address is not shared.

Sharing and Limited Use

FlowForge's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell your data, use it for advertising, or let people read it, except when you ask us for help and give permission, when it is needed for security or to comply with the law.

The services that receive data are Google Workspace APIs, the Gemini API for the AI assistant, Google Analytics for anonymous statistics, and Codeinate's own diagnostics service for error reports.

Retention and deletion

  • Delete a saved setup from FlowForge, or delete the FlowForge Data spreadsheet, to remove your setups and run log.
  • Documents and PDFs it created are ordinary Google files; delete them in Google Drive like any other file.
  • Remove FlowForge's access at any time at myaccount.google.com/permissions.
  • For any other request about your data, write to support@codeinate.com.

Security

FlowForge runs on Google Apps Script inside Google's infrastructure and uses only the permissions listed above. Connections to Google services use HTTPS.

Children

FlowForge is meant for businesses, schools and organisations, not for use by children under 13.

Changes to this policy

If this policy changes, we will update the date above and, for significant changes, tell users in the add-on or by email.
